Lower Wood Farmhouse takes data privacy seriously. This page describes what personal data we collect, why, and how long we keep it. It applies to anyone who enquires about, books, or stays at the property, and to anyone who interacts with our website or social channels.
Who we are
Lower Wood Farmhouse is operated from Lower Wood Farm, Ludlow, Shropshire, SY8 2EE. The data controller for the purposes of UK GDPR is Harry Beaumont. Contact: stay@lowerwoodfarmhouse.co.uk.
What we collect
- Enquiry and booking details: name, email, phone number, postal address, party size, special requests.
- Payment details: processed by Stripe and OwnerRez. We do not store card numbers.
- Marketing engagement: when you open or click our emails, our email provider (Resend) records that event.
- Website analytics: page views, referrer, anonymised IP, broad location. Recorded by Google Analytics and Vercel.
- Public social engagement: if you tag, follow, or interact with our public social profiles on Instagram, TikTok, Pinterest, or Google, we may see and store that interaction in our internal CRM.
Why we collect it
- To deliver the booking you have asked for and to communicate about it.
- To meet our legal and accounting obligations.
- To improve our marketing and content, in aggregate.
- With your explicit consent, to send occasional follow-up emails after a stay.
Who we share it with
We use a small number of trusted service providers, each of whom is contractually bound to handle data on our behalf. They include OwnerRez (booking management), Stripe (payments), Resend (transactional and marketing email), Google Workspace (mail and storage), Vercel (website hosting), and the channel listings where you booked (Airbnb, Booking.com, etc.). We do not sell or rent personal data to third parties.
Internal automation tools
We use internal scheduling tools to plan and post our own marketing content to our own social profiles, including Pinterest and Buffer. These tools read and write only to accounts that we own, using API access tokens issued to us by those platforms. No guest data is processed by these scheduling tools.
How long we keep it
Enquiry data: 24 months unless the enquiry converts to a booking. Booking data: 7 years for accounting purposes, then deleted. Marketing email subscribers: until you unsubscribe.
Your rights
Under UK GDPR you have the right to ask what data we hold about you, ask us to correct or delete it, withdraw consent for marketing at any time, and lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk. To exercise any of these rights, email stay@lowerwoodfarmhouse.co.uk.
Cookies
The site uses essential cookies to operate, and Google Analytics cookies to count visitors. No advertising cookies. You can disable cookies in your browser settings without losing access to the site.
